Parent/Carer Code of Conduct

Effective: 24.04.25 | Subject to ongoing updates – notice will be emailed to all parents/carers.

As a Parent/Carer, I will:

  • Ensure my athlete arrives on time and fully prepared for all training, rehearsals, classes, events, shows, conventions, workshops, and competitions. I understand that arriving “on time” means being ready to begin, not simply walking through the door at the scheduled time.

  • Make myself known to my athlete’s coach, stay informed of class updates, and pay attention to any announcements.

  • Inform the Head Coach via email if my athlete will be absent. I understand that more than three unauthorised absences in a month may result in removal from a show or competition routine.

  • Not enter training sessions unless permission is granted by the Head Coach.

  • Always be polite, courteous, and respectful toward all coaches and staff members of Obsidian Cheer and Dance.

  • Ensure my athlete wears the correct uniform and dancewear as outlined in the Uniform Policy, with hair tied back neatly and no jewellery worn.

  • Treat all venues, studios, and performance spaces with respect. I will ensure any spills or messes are cleaned up and that these spaces are left neat and safe.

  • Respect and care for all costumes, props, and equipment.

  • Take full responsibility for my own belongings.

  • Notify a coach when collecting my child and leaving the premises after classes, events, or competitions.

  • Collect my child promptly at the end of class. Repeated late collections may result in a late fee.

💳 Payments and Fees

  • Invoices are sent one to two weeks before the new term begins.

  • Full term fees must be paid upfront to secure your child’s place.

  • No refunds or discounts are offered for missed classes or early withdrawals.

  • If a class is cancelled due to unforeseen circumstances, a credit will be applied in the form of a makeup class or deducted from the next term's fees.

  • Please contact us via email if you experience any payment issues.

Late Payments:

  • A late fee of £10 will be added to your invoice if payment is not received within 3 days of the due date.

  • Continued late or non-payment may result in your child losing their place in class.

📣 Communication Policy

  • All queries, concerns, and attendance notices must be sent to: admin@obsidiancad.co.uk

  • Coaches’ personal numbers and private social media accounts are not to be used for Obsidian-related communication.

  • Athletes must not follow or message coaches on private accounts (unless over 18).

  • Official communications may also be sent via our social media accounts or email.

🧠 Safeguarding & Medical Information

  • All Obsidian coaches are DBS-checked and trained in safeguarding procedures.

  • Parents must notify us of any medical conditions, allergies, or learning needs prior to a child attending class.

  • In the event of an emergency, Obsidian staff will act in the best interest of the child and contact the parent/carer immediately.

🎥 Media & Photography Consent

  • Photos and videos may be taken during classes and events for use on our website, social media, or marketing materials.

  • If you do not consent to your child being included, please inform us in writing.

📆 Trial Classes, Withdrawals & Cancellations

  • Trial classes may be offered depending on class availability — please email us to enquire.

  • If you plan to withdraw from a class, written notice must be given before the next term begins.

  • If a class is cancelled due to illness or weather, we will notify families via email and/or social media. A credit will be rolled over to the next term.

🔁 Attendance & Commitment

  • Regular attendance is essential, especially for Competition Teams (minimum 90% expected).

  • Dancers are responsible for learning missed choreography outside of class before the next rehearsal.

  • Coaches have the final say regarding an athlete’s eligibility to perform or compete.

🧍‍♀️ Athlete Behaviour Expectations

  • Athletes must be respectful, focused, and show a positive attitude during all sessions.

  • Inappropriate behaviour such as disrespect, disruption, or refusal to participate may result in removal from choreography, routines, or class.

  • Athletes must be punctual, in uniform, and uphold a high standard of sportsmanship.

⚖️ Parent & Athlete Conduct

  • Negative or inappropriate behaviour — including gossip, public complaints, or online comments — may result in the athlete’s removal from routines or dismissal from the team.

  • Bullying or cyberbullying is strictly prohibited and will result in immediate removal.

  • Competition routines must not be posted on social media without Head Coach permission.

  • No smoking, vaping, drugs, or alcohol are permitted at any Obsidian venue, class, or event.

  • Everyone must treat each other with respect, regardless of age, gender, race, religion, sexual orientation, or disability.

  • Abusive language, violence, or illegal behaviour will not be tolerated.

🛑 Disciplinary Action

  • In the event of inappropriate behaviour from a parent or child, a formal warning will be issued.

  • If no change occurs, the family may be asked to leave the program.

  • In serious cases, immediate removal may take place without prior warning. This is at the discretion of the Head Coach and owners of Obsidian Cheer and Dance.
